Content Approval System: What is it all about?



Metricool's content approval system is designed to optimize collaborative post management. It lets you approve or reject posts based on assigned roles and it's perfect for teams that need to control their posting flow. Plus, you can add users who don't have a Metricool account to the approval process by entering their email.

This feature is available on the Advanced and Custom plans.

User Roles



The content approval system manages different roles that determine the level of access and allowed actions.

The usual roles are:

Client: A role with view permissions that can approve or reject posts.
Content Creator: A role with editing permissions that must schedule posts through the approval system.

Approval Process Flow



Post events will appear in the notes section, such as when it was created, rejected, rejection messages, etc.

Please note that if you edit the publication, you will have to send the content again for review.

From planning, create the post and click on "submit for review."



Select the users who will review the post and click "send." You can enable/disable "Send notification by email".

💡 Use the search engine to add Metricool users or manually enter the email if the user does not have an account.

How many reviewers must approve the post to publish it? You can choose from three criteria :

‼️ Heads up: In all cases, if one reviewer rejects the post, it won’t be published.

No reviewer: The post will be published as long as no one rejects it. No explicit approval is needed.

At least one reviewer: The post can be published if at least one reviewer approves it and no one rejects it.

All reviewers: All reviewers must approve the post. If even one person doesn’t approve or rejects it, the post won’t be published.



The post will appear on the calendar with the status "pending approval" (in yellow)



The selected users can approve or reject the post.



By clicking "APPROVE," the post will be in the "approved" state (in green) and will be pending publication on the scheduled date.



By clicking "REJECT" (optionally, a note can be left on the post), the post will be marked as rejected (in red) and will not be published.



If the post needs approval from more than one user, it will remain in the pending approval state and will be approved when all users have validated the post. You can view the status details by user.



Bulk Content Approval Management





From Planning > List > Bulk actions, you can manage publications: approve, reject and send to review. You can also delete pending publications from the calendar (to delete publications already published, you must delete them from the social network itself).

Select the posts on which you want to perform the actions. The approve and reject options will be enabled only if you have publications assigned for review, you can also manage it from My tasks.

Which plans include Content Approval?

It's available on the Advanced and Custom plans.

Do I need a Metricool account to approve content?

No, you don't need a Metricool account. You can send a post for review to an external collaborator using the "add reviewers by email" feature. Keep in mind that a notification will be sent for every post pending review.

Is there a difference between sending a review request to a Metricool user and an external email?

There's no difference in how the review is executed, but there is a difference in how notifications are sent:
If the email belongs to a Metricool account, you can send posts for review in bulk and receive a single email notification.
If the email doesn't belong to a Metricool account, an individual email will be sent for each post.

Can I enable or disable email notifications for reviewers?

Yes, you can set that up during the process. However, if you use the "add reviewers by email" option, notifications will be sent automatically, regardless of your settings.

What happens if I edit a post after sending it for review?

If you edit a post after sending it for review, you'll need to send it again for approval.

Where can I manage content reviews?

Besides receiving review requests via email, if you have a Metricool account, you can approve or reject posts from My Tasks.

Can I manage posts in bulk in Metricool?

Yes, under Planning > List > Bulk Actions, you can manage posts in bulk: approve, reject, and send for review.

Can I send posts for review from the mobile app?

Yes, content approval is also available on the mobile app.

What happens if more than one reviewer is assigned and one already approves the post?

Even if the setting is “at least one reviewer must approve”, the post will still show up as pending in every reviewer’s task list. Each reviewer can approve or reject the content independently.

Can a reviewer reject a post that has already been approved by someone else?

Yes. All reviewers can approve or reject the post at any time, no matter what the others have done.

What happens if one reviewer rejects the content but others approved it?

Rejection always takes priority. If even one reviewer rejects it, the content won’t be published, even if all the others approved it.

Why is the post still showing in my tasks if another reviewer already approved it?

Because all assigned reviewers are allowed to take action. The system is designed to give everyone a chance to review the content.
