How to share your content calendar with clients or collaborators
Metricool offers several ways to share your content calendar with clients or collaborators, depending on whether they need to view the schedule, collaborate on content, or approve posts before publishing. This guide covers all available options so you can choose the right approach for your workflow.
Ways to share your calendar

Beyond these sharing methods, you can also use the content approval workflow when you need post-by-post review before publishing. This is ideal for clients who need to approve posts but don't require ongoing calendar access. See the Content approval workflow section below for details.
Metricool Studio: Share a calendar view
Metricool Studio lets you create a Calendar view and share it with a public link. Anyone with the link can open and explore the view without needing a Metricool account. This is ideal when you want clients to see the content schedule without editing or approving posts.
To share a calendar view:
- Click on Metricool Studio.
- Click Create new view.
- Select Calendar as the view type.
- Choose the period to analyze: Last week, This week, Next week, or Custom.
- Select one or more brands and social networks to display.
- Click Generate view.
- Once generated, click the share icon on the view.
- In the top menu, go to Reporting.
- Click Generate public link and copy the URL.
The view is read-only. Recipients can see the scheduled content but cannot edit it or access other parts of your account. If you use a relative period like "this week," you can refresh the view to update the data and the client always opens the same URL.

Invite clients as team members
If your client needs ongoing access to the calendar, inbox, reports, or analytics, invite them as a team member with limited permissions. This is the standard way to give access inside Metricool.
Depending on the permissions you assign, team members can also view and leave notes on posts — useful for feedback, suggestions, or internal communication without editing the content itself.
To invite a client:
- In the top menu, click the three horizontal lines on the right.
- Go to User Management.
- Click Add user.
- Enter the client's email.
- Select the brand(s) to share.
- Assign a role with appropriate permissions, such as Client or a custom role with view-only access.
- Confirm whether to send a notification and click Add user.
The client will receive an email to log in or create a Metricool account. Once inside, they'll see the shared brand with the permissions you assigned. They can access the planner, check reports, and approve posts based on their role.

Export the calendar
You can export your content calendar as a CSV file and share it externally. This gives clients a static copy of the schedule outside Metricool.
To export the calendar:
- Go to Planning > Calendar.
- Use the export option to download the calendar in CSV format.
- Share the file with your client.
This option works on all plans and doesn't require the client to have a Metricool account. However, the exported file is a snapshot and won't update automatically as you schedule new content.
Content approval workflow
The content approval system is a complementary option focused on reviewing and approving posts rather than sharing the full calendar view. It works alongside any of the sharing methods above and is available on Advanced and Custom plans.
Use this workflow when you need explicit approval on each post before publishing, and reviewers don't need ongoing calendar access.
To send a post for review:
- From Planning, create or open a scheduled post.
- Click Send to review.
- Select reviewers by Metricool username or add external reviewers by email.
- Choose the approval criteria: No reviewer, At least one reviewer, or All reviewers.
- Click Send.
Reviewers receive an email with a link to approve or reject the post. If one reviewer rejects, the post will not be published. You can also manage reviews in bulk from Planning > List > Bulk actions or from My Tasks.

Which option should you use?
- Metricool Studio for a live, read-only calendar view — especially useful for multi-brand overviews.
- Team member access for clients who need to collaborate inside Metricool on an ongoing basis.
- Export CSV for a one-time, static copy of the schedule.
- Content approval when you need post-by-post approval before publishing — can be combined with any sharing method.
