How to share your content calendar with clients or collaborators
Updated 4 weeks ago
Metricool offers several ways to share your content calendar with clients or collaborators, depending on whether they need to view the schedule, collaborate on content, or approve posts before publishing. This guide covers all available options so you can choose the right approach for your workflow.
Ways to share your calendar
Method | Best for | Requires Metricool account | Plan required |
|---|---|---|---|
Metricool Studio calendar view | Read-only calendar visibility without editing or approving | No | Starter or higher |
Invite as team member | Collaborators who need access to calendar, inbox, reports, or analytics | Yes | Advanced or higher |
Export calendar (CSV) | Sharing a static copy of the schedule externally | No | Starter or higher |
Beyond these sharing methods, you can also use the content approval workflow when you need post-by-post review before publishing. This is ideal for clients who need to approve posts but don't require ongoing calendar access. See the content approval workflow for details.
Metricool Studio: Share a calendar view
Metricool Studio lets you create a Calendar view and share it with a public link. Anyone with the link can open and explore the view without needing a Metricool account. This is ideal when you want clients to see the content schedule without editing or approving posts.
Multi-brand calendars: Metricool Studio is the only option that lets you combine content from multiple brands into a single calendar view.
Create a calendar view from Planner (shortcut)
You can generate a shareable Metricool Studio view directly from the Planner:
Open the Planner and configure your view as needed (brand, period, social networks).
Click the Generate view button.
Choose the type of view:
Single brand view: The Metricool Studio view is created immediately with your current Planner settings.
Multi-brand view: Opens the guided configuration where you can confirm brand selection and adjust period and social networks before creating the view.
A new tab opens with a ready-to-share Calendar view in Metricool Studio.
Click the share icon and select Generate public link.
Copy the URL and share it.
This shortcut captures your current Planner context and creates the view automatically — no need to start from scratch in Metricool Studio.
Create a calendar view from Metricool Studio
To create and share a view directly from Metricool Studio:
Go to Reporting > Metricool Studio.
Click Create new view.
Select Calendar as the view type.
Choose the period to analyze: Last week, This week, Next week, or Custom.
Select one or more brands and social networks to display.
Click Generate view.
Once generated, click the share icon on the view.
Click Generate public link and copy the URL.
What clients see
When clients open the shared link, they see each scheduled post as a visual preview, showing how the content will appear on the social network — not just a list of dates and times. This matches the preview experience in the Planner.
The view is read-only. Recipients can see the scheduled content but cannot edit it or access other parts of your account. If you use a relative period like "this week," you can refresh the view to update the data and the client always opens the same URL.
Filter by brand in multi-brand views
If your calendar includes multiple brands, viewers can use the brand filter to narrow the view to a specific brand or subset of brands. The filter shows All by default and is hidden automatically when the view contains only one brand.
Metricool Studio is not available on the Free plan. Starter and Advanced plans have access with limits on number of views and version history.
For full details on creating and managing views, see How to Use Metricool Studio.
Invite clients as team members
If your client needs ongoing access to the calendar, inbox, reports, or analytics, invite them as a team member with limited permissions. This is the standard way to give access inside Metricool.
Depending on the permissions you assign, team members can also view and leave notes on posts — useful for feedback, suggestions, or internal communication without editing the content itself.
To invite a client:
In the top menu, click the three horizontal lines on the right.
Go to User Management.
Click Add user.
Enter the client's email.
Select the brand(s) to share.
Assign a role with appropriate permissions, such as Client or a custom role with view-only access.
Confirm whether to send a notification and click Add user.
The client will receive an email to log in or create a Metricool account. Once inside, they'll see the shared brand with the permissions you assigned. They can access the planner, check reports, and approve posts based on their role.
A team-member invitation always means a standard Metricool account — there is no separate collaborator-only account type — and if the client signs up from the invitation, the registration form includes the commercial communications opt-out. See Manage or Unsubscribe from Commercial Communications for the exact option and how to change preferences later.
Adding users is only available on Advanced and Custom plans. Free and Starter plans include access for one user only.
For more details on roles and permissions, see User management in Metricool and Shared Brands in Metricool.
Export the calendar
You can export your content calendar as a CSV file and share it externally. This gives clients a static copy of the schedule outside Metricool.
To export the calendar:
Go to Planning > Calendar.
Use the export option to download the calendar in CSV format.
Share the file with your client.
This option works on all plans and doesn't require the client to have a Metricool account. However, the exported file is a snapshot and won't update automatically as you schedule new content.
Content approval workflow
The content approval system is a complementary option focused on reviewing and approving posts rather than sharing the full calendar view. It works alongside any of the sharing methods above and is available on Advanced and Custom plans.
Use this workflow when you need explicit approval on each post before publishing, and reviewers don't need ongoing calendar access.
To send a post for review:
From Planning, create or open a scheduled post.
Click Send to review.
Select reviewers by Metricool username or add external reviewers by email.
Choose the approval criteria: No reviewer, At least one reviewer, or All reviewers.
Click Send.
Reviewers receive an email with a link to approve or reject the post. If one reviewer rejects, the post will not be published. You can also manage reviews in bulk from Planning > List > Bulk actions or from Review requests.
Reviewers added by email don't need a Metricool account, but they will receive individual emails for each post. Metricool users can manage all pending reviews from Review requests.
For the full approval workflow, see How to send posts for review with Metricool's approval system.
Which option should you use?
Metricool Studio for a live, read-only calendar view — especially useful for multi-brand overviews.
Team member access for clients who need to collaborate inside Metricool on an ongoing basis.
Export CSV for a one-time, static copy of the schedule.
Content approval when you need post-by-post approval before publishing — can be combined with any sharing method.
