Reach. A team member has a role across all brands in the organization, including future ones. A collaborator has a role on specific brands that you select.
User management & organizations in Metricool
Updated today
User management is where you control who can access your brands and what they can do. You can give someone access to every brand as a team member, or to specific brands only as a collaborator. Everyone belongs to your organization, which groups you as the owner, your brands, and your team under one name.
To open it, click the three horizontal stripes in the top-right menu and select User management. Right below it you will find Organization settings, where you manage the organization itself.
Team members are available on Advanced plans and White Label for Agencies. On plans with a single access, like Free and Starter, you can open User management but you can't add team members or collaborators: you will see a prompt to upgrade your plan. Team members are not available for end clients of White Label or Integrator accounts.
What you'll find in User management
Organization selector: shows the organization you are working in, with how you belong to it next to the name, such as Owner or Collaborator. If you have access to more than one organization, you can switch between them. Collaborators, roles, and team members change with the organization you select.
Collaborators tab: people with access to specific brands.
Roles and permissions tab: the roles you can assign.
Team members tab: people with a role across the whole organization.
Key concepts
Term | What it means | Example |
|---|---|---|
Owner | The person who holds the account. The organization belongs to them, and they have every permission. Only the owner manages the plan and billing. | The founder who pays for the Advanced plan. |
Organization | The group that contains the owner, their brands, and their team. It has a name, which only the owner can edit. | "Acme Marketing", with 30 brands and the people who work on them. |
Team member | Someone whose role applies to all brands in the organization, including brands you add later. Depending on their role, they can also manage brands, roles, and other team members. | A marketing manager who works on every brand and can add new ones. |
Collaborator | Someone with access to one or several specific brands, with a role you choose for each brand. Collaborators were previously called users, and their access works the same way as before. | An editor for the brand "Acme Coffee". |
Role | A reusable set of permissions, with brand permissions and organization permissions. | "Editor", "Content creator", "Account manager". |
Organization permissions | What someone can do across the whole organization: manage brands, manage roles, and manage team members. They only apply to team members, never to collaborators. | Adding or deleting brands, or inviting new team members. |
Team members vs. collaborators
The difference is reach, not the role itself. A team member has a role on the whole organization, and a collaborator has a role on the brands you pick one by one.
Team member | Collaborator | |
|---|---|---|
Brand access | All brands in the organization | Only the brands you select |
New brands | Access is added automatically | No access until you add it |
Role per brand | One role for the whole organization | A different role in each brand |
Organization permissions | Yes, if the role includes them | Never |
Which one should I choose?
For example, if you have a Content creator role and want someone to have it in all your brands, add them as a team member. If you want a content creator on only two brands, add them as a collaborator on those two brands.
Choose a team member when someone works on every brand, or needs to add brands, manage roles, or invite other people.
Choose a collaborator when someone works on a few brands, or needs a different role in each one.
A team member doesn't need organization permissions. They can have a role with only brand permissions, and the difference is that the role applies to every brand.
Organization settings
The organization groups all your brands and the people who work on them under one name. New brands come with your team already in. The name is taken from the company name in your billing information, and if there isn't one, you will see My organization. Only the owner can edit it.
To open it, click the three horizontal stripes in the top-right menu and select Organization settings. The tabs you see depend on your permissions. The owner sees:
General settings
Brands: lists the organization's brands and lets you add new ones with Add brand. Click the arrow icon next to a brand to open its Brand settings.
Integrations
You can also add brands from other places, such as Connections. To add or delete a brand, see How to add or delete brands to your account.
Roles: brand and organization permissions
Each role has two sets of permissions. Brand permissions control what someone can do inside a brand. Organization permissions control what someone can do across the organization:
Manage brands: add and delete the organization's brands.
Manage roles: create, edit, and delete the organization's roles.
Manage team members: add and remove team members.
Manage White Label settings: change the agency configuration. This permission only appears on White Label plans.
Two ready-made roles include organization permissions:
Super Admin: everything.
Account Manager: all brand permissions, plus adding brands.
A role with only organization permissions can't be assigned to a collaborator. For the full list of permissions and the assignment rules, see Roles and permissions in Metricool.
What changed
Before, everyone you added was a user and had to be added brand by brand, and every new brand meant setting up access again. Now you can give a role across all brands in one step, and delegate brand and team management to the people you trust.
White Label for Agencies
If you have a White Label for Agencies plan, your agency team works as team members and you can give them any role instead of only two fixed ones.
Administrator is now Super Admin.
Manager is now Account Manager.
Both roles keep the same permissions as before.
To change the agency configuration, a team member needs the Manage White Label settings permission. See WLA: About Clients, Roles, Brands and Teams for the full agency setup.
