How to set up notifications for manual publishing

This article shows you how to set up notifications that alert you when a post is ready to be published to Instagram or TikTok.

What types of posts require manual publishing?

In general, you can schedule and autopublish content to all social networks from Metricool. However, there are exceptions for Instagram and TikTok where some posts must be published manually via a notification.

For TikTok, this happens when the content does not meet the requirements for auto-publishing, for example, if you want to add music outside the Top 100 trending songs or use app-specific features like effects and filters. Business accounts can add the Top 100 trending songs with auto-publishing.

For Instagram, manual publishing is required for Stories with interactive elements like links or mentions, and for Reels that use audio not available in Metricool's library or interactive stickers. Any content that does not meet the platform's autopublishing conditions must be posted manually.

Set up notifications

The manual publishing alert is an event of the notification system. Two groups receive it, added together: every user with permission to publish posts on the brand, through the channels they enable in their notification preferences (in-app, email, and push), and the emails and devices added in the brand's planner notifications modal, by email or push. If a user is in both groups, they get one email and one push, never duplicates.

The planner notifications modal overrides your notification preferences: if you turn the event off in your preferences but your email or device is still in the modal, you keep receiving it there; to stop it, you have to be removed from the modal. If the modal is empty, the alert goes to every user who can publish on the brand. The brand's Slack destination also receives the event whenever it is turned on there, no matter who is in the modal. The modal shows an info text reminding you that its emails and devices are added to the users who can publish, not a replacement for them.

If you're on an Advanced or Enterprise plan and have shared brands, you'll see the “My Team” tab in addition to “My Settings” (which is visible to each team member). Only the account owner can view the “My Team” tab, which shows the devices and active emails of all members. Each user must set up their own notifications from their “My Settings” tab.

Push notification via mobile

To set up your push notifications on your mobile device, follow these steps:

1. Download our app on your iOS / Android phone.

2. Login to Metricool to link your device with your account.

3. Access the planner > notifications

4. Select "On my mobile device" from the drop-down menu.

5. Enable the device

6. Click on Save

We recommend using the Save and send a test option to make sure you receive the notifications correctly.

From now on, if you have the autopublish option turned off, when it's time to publish, you will receive a notification. Click on the notification and the media will be downloaded to your gallery and the text will be automatically copied to the clipboard and redirect you to the Instagram app. Follow the usual process of posting from Instagram.

E-mail notification

If you prefer to receive notifications in your email, follow these steps:

1. Go to the scheduler > notifications

2. Select "In my e-mail" in the drop-down menu.

3. Enter your e-mail account

4. Click on Add

5. Click on Save

Some browsers do not allow downloading multimedia content, so the email process may be less fluid; we recommend mobile notifications.

Disable notifications

To stop receiving planner notifications:

1. Go to Planner > Notifications.

2. Manage notifications from the corresponding tab:

• My settings

• My team (available if you have an Advanced or Custom plan).

My settings
Each user manages their own notifications here.

• Email: it can only be removed from the list by clicking the trash icon.

• Mobile device: you can disable it using the toggle or remove it by clicking the trash icon.

If you disable a notification, you can enable it again at any time using the same toggle.

My team
On Advanced or Custom plans with shared brands, the account owner will see this tab, where the active devices and emails of each team member are displayed.

• From here you can disable notifications for email or mobile device. It is not possible to remove them from this tab.
Keep in mind that notifications are configured individually in each user account from “My settings”.

3. After making changes, click Save to apply them.

Turning the event off in your notification preferences does not stop the deliveries configured in the planner notifications modal. To stop those, remove the email or device from the modal.

FAQs

Device identification

When you enable the device in Metricool, it will be registered with the name set on your mobile. This is the name you will see later when selecting where to receive notifications for manual posts.

If you haven’t customized the name, the default model name will be shown (for example, "iPhone" or the device model), which can make it harder to identify the correct device.

How to check or change the device name:

On iPhone (iOS):

1. Go to Settings

2. Tap General

3. Tap About

4. Tap Name

5. Enter the name you want to use

On Android:

• The path may vary depending on the manufacturer*

1. Go to Settings

2. Tap About phone or Device information

3. Tap Device name

4. Edit the name and save the changes
